The problem

Delays in making payments due to one credit card in the company

Before adopting Alaan, Healthy Home relied on a single company credit card, which was controlled by the General Manager (GM) and required an OTP for transactions. This often led to delays, as employees had to make repeated attempts to reach the GM to complete payments. These delays caused frustration among employees and disrupted the timely processing of expenses, impacting the company’s expense management workflow and leading to payment deadlines being missed.

Jennifer, the Head of Finance at The Healthy Home said,

Expense management with just one card also led to issues with marketing spends and different SaaS tool subscriptions, as payments would often fail because other departments depleted the card's credit limit. The solution

Issuing individual corporate cards to employees with spend controls

With the adoption of Alaan, The Healthy Home issued corporate cards within minutes to every employee, complete with comprehensive spend controls such as daily and monthly limits along with category-specific restrictions. This additionally eliminated the need for personal credit cards for business expenses and streamlined the end-to-end expense process. Employees felt empowered with their individual corporate cards, allowing them to make transactions without the hassle of obtaining OTPs. Finance managers gained complete visibility over company expenses, and accountants no longer had to chase employees for receipts, as the Alaan app allowed employees to instantly capture and store expense receipts.

Moreover, Alaan’s sub-wallet feature for managing crucial business payments was particularly beneficial for The Healthy Home.

Speaking on sub-wallet feature, Jennifer said

‍“By segregating funds from our Alaan primary wallet to sub-wallets, we ensured that critical and time-sensitive payments, such as marketing spends and SaaS subscriptions, were always covered. This prevented disruptions and provided better financial control across different departments.”‍

She also highlighted how Alaan’s direct integration with Zohobooks was a game-changer for The Healthy Home.

"We used to manually reconcile receipts earlier, and now we don't have to. The reconciliation has improved the bookkeeping and book closing significantly. Now we just have to confirm the transactions instead of sitting and doing manual entries." ‍

This integration allowed accountants to focus on more strategic tasks, enhancing overall financial efficiency.
